A Canadian wholesale distributor supplying industrial and building-supply products to retailers, contractors, and resellers across several provinces. The company is GST/HST registered, conducts most transactions in CAD, and also makes occasional USD payments to suppliers in the United States.

The business had expanded through the addition of a second business unit. While the original operation had its accounting processes established on a legacy desktop platform, the acquired unit continued using a separate spreadsheet-based financial process. Over time, both systems accumulated their own customer records, vendor information, transactions, tax records, and account structures.

As the business continued operating across both units, finance needed a more consistent way to manage current transactions while retaining the historical information already recorded in each system.

Existing Accounting Setup

The original business unit managed its accounting through a legacy desktop accounting platform. This system handled most Canadian customer invoices, vendor bills, payments, and GST/HST filing activity.

The second business unit maintained its financial records through spreadsheets. Its sales, purchases, tax calculations, and remittances were maintained separately from the primary accounting system.

Both processes supported day-to-day accounting for their respective operations, but management reporting required information from both sides of the business to be brought together.

Separate GST/HST Reconciliation: GST/HST was calculated and reconciled separately in each system before filing, so the finance team had to review both sets of records for every reporting period.

Duplicate Customer and Vendor Records: Customer and supplier information existed in both systems, with different identifiers and variations in contact and tax details.

Two Bank Reconciliation Processes: Bank transactions were reconciled separately for each system, including accounts that supported transactions across both parts of the business.

Manual Month-End Consolidation: Management reporting required the finance team to bring together two sets of books before preparing a consolidated view of the business.

Historical Records Across Two Sources: Financial history was split between the legacy accounting platform and spreadsheets, making audits, lender requests, and year-over-year comparisons dependent on information from both sources.

Different Account Structures: Each system had its own chart of accounts, so financial information had to be mapped and reviewed before the business could produce a consistent overall view.

Zoho Books Migration and Implementation

Data and Processes Consolidated

The migration covered one full year of financial history from both accounting sources. The scope included customer invoices and payments, vendor bills and payments, journal entries, opening and closing balances, and bank transaction records.

Customer and vendor master records were also included, with the large majority relating to Canadian businesses and a smaller group of US-based suppliers. Canadian GST/HST requirements were incorporated into the new setup, along with a unified chart of accounts to replace the two separate structures previously maintained by the business.

The objective was to establish one financial structure in Zoho Books while retaining the historical information required for ongoing accounting, reporting, and financial review.

1

Chart of Accounts Mapping

Xponential began by reviewing the two existing accounting structures and mapping their charts of accounts into a single structure in Zoho Books.

2

Canadian Tax Configuration

The Canadian tax configuration was then established to support the distributor's GST/HST requirements, including provincial tax treatment and the company's mix of domestic and cross-border transactions. This gave the finance team one accounting environment for managing the tax information associated with its Canadian operations.

3

Customer, Vendor, and Bank Setup

Customer and vendor records from both sources were consolidated and reviewed for duplicate entries. Bank feeds were configured for the company's CAD accounts, while invoicing and approval workflows were rebuilt around the consolidated accounting structure.

4

Historical Data Migration and Validation

The historical migration covered a full year of transactions, opening balances, and bank activity from both legacy sources.

Xponential validated each migrated batch against the original systems' trial balances and previously filed GST/HST returns. This provided a reference point for checking that transactions had been transferred correctly and that the consolidated records reflected the financial information already reported by the business.

Bank transactions were also reconciled against historical statements to confirm account balances at the point of cutover.

5

Parallel Reconciliation Before Cutover

Before the legacy systems were fully retired, the teams carried out a period of parallel reconciliation. This gave the finance team an opportunity to compare the consolidated Zoho Books ledger with the historical records and confirm that the new accounting environment reflected the figures already filed and reported.

The move to one Zoho Books environment gave the distributor a simpler way to manage its financial operations across both business units. The finance team now has a consistent view of current activity and historical records, making regular reporting and financial reviews easier to manage. The new setup also gives the business a solid accounting foundation as transaction volumes and operations continue to grow.

The result is an accounting environment that aligns more closely with the company's expanded operating structure while preserving the financial history needed for future reporting and review.

Canadian distributors may have financial records spread across different accounting systems, spreadsheets, or business units as their operations grow. Bringing those records together in Zoho Books gives the business one structured environment for managing historical data, customer and vendor records, tax settings, bank transactions, and ongoing accounting. Xponential Digital helps businesses plan and manage this type of Zoho Books migration, from reviewing the existing accounting setup and mapping account structures to configuring Canadian GST/HST, moving historical data, and validating the migrated records. The focus is on bringing the financial information together in a way that fits the company's existing accounting processes.
If your accounting environment has evolved across multiple systems, our team can assess the existing setup and outline a practical path toward a consolidated Zoho Books environment.
